A step-by-step guide to our drone service process for both pilots and clients

The XquaDrones Process

1. Affiliation

A person owning a drone registers as an affiliate on our platform. If it's a natural person, they must be a Certified UAS Pilot; if it's a legal entity, they must have at least one Certified UAS Pilot who will handle the flight missions.

The company will verify the received documentation with Aerocivil and other state entities and conduct its own tests to determine the pilot's suitability according to the minimum standards required by XquaDrones S.A.S.'s Operations Manual.

Once Completed:

The aircraft and pilot will be registered on the official list of personnel authorized to conduct operations under the company's name, in accordance with current regulations (RAC 100).

Request Types:

  • From certified UAS Pilots or Companies already registered as affiliates
  • From third parties requiring a specific service from the company's portfolio

2. Flight Mission Requests

The company may receive requests for flight missions from clients. The client must specify the type of service required and the location where the mission will take place.

Through the platform, the client defines the flight polygon, and the company proceeds with the required procedures depending on the case.

3. Civil Liability Insurance

Flight missions can last from a few hours to several days. Therefore, the insurance must have coverage proportional to the mission's duration in days, complying with Aerocivil requirements.

It will be limited to the extracontractual civil liability policy required by RAC 100 and under the terms established in the Commercial Code as required by the norm.

Additional Coverage:

It will be at the insurer's option, when negotiating with XquaDrones S.A.S., to offer additional coverages beyond the minimum required by regulations.

Requirements Include:

  • Operational safety risk analysis
  • Data on the pilot(s), observer(s), and drone(s) to be used
  • Completion of all official documents in force with Aerocivil

4. Procedure with Aerocivil

For each flight mission, the company must comply with the requirements established in the current norm for conducting aerial operations in the specific category.

The company will request altitudes and make necessary corrections to the flight plan so that the mission is authorized. Subsequently, it will send the pilot all information, requirements, and observations contained in Aerocivil's authorization, including additional instructions for the operation.

5. Pilot Documents

Before starting the mission, the pilot must complete a pre-flight checklist document in the app, which includes initial drone status verification, airspace verification, meteorological conditions, and documentary and operational review according to XquaDrones' Operations Manual.

Client Authorization:

Once the pre-flight checklist is completed, the client must authorize the mission start from the platform.

Final Report Details:

  • Total flight time
  • Record of incidents or accidents
  • Technical and operational observations
  • Information for the Operational Safety Management System

6. Post-Mission Verification

Upon mission completion, the pilot must complete a final report in the app with detailed information about the flight.

If the client is a third party, they must evaluate the service and authorize the official mission completion.

Finally, if applicable, the pilot must upload the collected material (images, videos, data, etc.) to the platform for processing and delivery of the final product to the client.
